WHAT YOU’LL NEED TO HAVE
WE ARE LOOKING FOR SITE FACILITY MANAGER TO JOIN OUR IKEA INDIA TEAM IN BANGALORE:
PURPOSE OF JOB:
Secure the delivery, on a day to day basis, of the agreed and site-based FM services to ensure a sustainable, safe, clean and functional environment for co-workers, visitors and customers. FM services include both hard FM services (e.g. technical maintenance) as well as soft FM services (e.g. cleaning, waste management, pest control, snow removal, building and retail equipment maintenance as well as energy, emissions and water management).
Maintain and service the building and site according to a common standard in order to promote and protect the IKEA brand and to ensure IKEA’s position as the best home furnishing retailer in the local market.
KNOWLEDGE:
- Know which services are included in the agreed IKEA FM service scope.
- Understand the FM business processes (work order management for urgent, planned and reactive maintenance, contract and vendor management) and the position of FM in the IKEA business
- Technical understanding in all aspects of a retail building and connected equipment. Understanding of asset management (maintenance and repair history, reinvestment planning, …)
- Know how to successfully deliver, organize and follow-up on ‘soft’ FM services (cleaning, pest control, snow removal, etc.)
- Know the principles of energy, water, emissions and waste management.
- Relevant knowledge of working with MS office (Word, PowerPoint, Excel, Project…) and CAFM systems.

- High standard of written and verbal communication skills in local language and basic (written and verbal) understanding of English.

KEY PREVIOUS EXPERIENCE AND SKILLS:
- Experience in a multi-service FM organisation, preferably in high-volume retail sector
- Preferred, academic degree or professional qualification in Facilities Management
- Proven experience in people management
- Proven project management experience, preferably in PPS methodology
- Demonstrable experience managing operational and investment budgets
- Experience in managing contracts and negotiations along with performance follow up with suppliers and contractors
- Working knowledge of MS Office applications and Computer Aided Facility Management software systems
YOUR RESPONSIBILITIES
- Be service minded and secure, on a day-to-day basis and in strict adherence with all applicable local regulations and IKEA Group mandatories, the delivery of agreed site FM services.
- Collect requirements for the FM services together with internal customers/stakeholders. Based on these requirements, set clear goals for your team, to support the achievement of the agreed goals.
- Proactively produce and share periodic reports on performance (both financial and non-financial) of FM services against the agreed goals. Adapt and take action accordingly and where necessary. Represent the site in the annual Facility Review.

VENDOR MANAGEMENT
- Tender and manage external service providers to fulfil the requirements of the internal customers/stakeholders.
- Evaluate periodically the service providers’ performance against contract terms and conditions in close collaboration with your manager and matrix partner, and according to the directives set on country level.
FINANCIAL MANAGEMENT
- Take the lead in creating the annual FM budget, based on an FM 5 year rolling plan, the annual FM plan, the business needs and results of the annual Facility Review.
- Be cost-conscious and actively manage the FM spend to ensure that all FM services are delivered, and all aspects of the site and building are maintained according to the agreed standards, and within agreed budget and timeframes. Use good examples and encourage your team and colleagues to discover more effective ways of working.

Facility Management (FM) combines people, processes and technology to maintain sites and buildings, and provide services to the IKEA business throughout the building lifecycle.
At site level, this means managing and maintaining a healthy, safe and suitable work environment for a good business performance and supporting a sustainable business development at the lowest possible long term cost.
